4. Assign Clear Ownership & Accountability

Don’t just “assign tasks”—assign outcomes. Your VA should know what success looks like for each responsibility they own. This transforms them from task-doer to results-driver.

Tip: In each task card (ClickUp, Asana, or Trello), include:

  • Task description

  • Deadline

  • Success criteria

  • Support documents or links


5. Use Weekly Check-Ins to Improve the System

Your delegation system shouldn’t be static. Hold a weekly 15-minute check-in to review what’s working, what’s unclear, and what can be optimized. This is how good becomes great.

Tip: Ask these 3 questions weekly:

  • What can I delegate more of?

  • Where did you feel stuck this week?

  • What can we automate or templatize?
